How to calculate an invoice total

The order matters. Do it in the wrong sequence and the tax is wrong, which is the kind of thing a client notices and you do not. Every calculator here follows these five steps, and so should a spreadsheet if that is what you use.

  1. 1. Work out each line on its own

    quantity × rate. Hours by hourly rate, square metres by rate per metre, one by a fixed price. Keep the unit in the description so the client can check it.

  2. 2. Take off any discount, per line or on the whole job

    A discount comes off before tax, never after. Ten per cent off a $3,200 line makes it $2,880, and that is the figure tax is worked out on.

  3. 3. Add the lines up to a subtotal

    This is the number a client scans first. If it does not match what you quoted, say why on the invoice rather than waiting to be asked.

  4. 4. Apply tax to the taxable subtotal

    subtotal × rate. Some lines may be exempt, so tax those separately and show the rate on the document. A tax invoice needs your tax number and the amount shown as its own line, not folded into the total.

  5. 5. Add shipping, then subtract what is already paid

    Shipping is usually added after tax. A deposit or part payment comes off last, and the figure that remains is the balance due. That is the number to make largest on the page.

Multiply quantity by rate on each line, take off any discount, add the lines to a subtotal, apply tax to that subtotal, then add shipping and subtract anything already paid. What remains is the balance due. The order matters: a discount applied after tax gives the wrong tax. There is a worked example above.

No. Everything on the site works without one. An account exists only so your details, clients and documents are still there tomorrow.

Nowhere, unless you sign in to send it. The calculations and the document are built in your own browser, so what you type never reaches a server. Close the tab and it is gone unless you downloaded it. If you sign in and send a document as a tracked link, that document is stored so your client can open and sign it.

What happens after you press send
